Meeting Note creates or authenticates your account with the backend, initializes your session, and routes you into the main app experience. If you enable Remember Me, the app attempts to restore your session on future opens so you can get back into your work faster. This first step also prepares your user profile, permissions, and account state so the rest of the workflow runs smoothly once you begin creating teams, projects, and meetings.

From the bottom navigation, go to Teams.

Go to Projects in the bottom navigation.

In Create New Project, fill in:

Open your project by tapping the project card.

Before the editor opens, Meeting Note runs a sync screen with statuses like:

Meeting Note compares local and server versions, waits for in-flight uploads when needed, and preloads the first audio and transcript chunks so you enter a coherent, up-to-date meeting state. When recording is done, expand then tap Save in playback controls.

After saving, Meeting Note opens Minutes of Meeting:

You can always come back to this meeting and it will still be here the same way it was before it was last finalized and locked forever so changes can not be made anymore.

Meeting Note builds the minutes email payload, including attendees, transcript content, links, and signatures where available. It then sends through the backend email endpoint, updates the meeting status to completed, and performs post-completion cleanup of older versions. At this point your meeting has moved from "created → recorded/uploaded → finalized → emailed → completed". It is now the completed record of that meeting cycle.

FAQs
Meeting Note may prompt you to confirm or link the existing account instead of creating a duplicate. Follow the account-link flow, then continue with the normal "team → project → meeting" path.
This helps keep your projects, teams, transcripts, and meeting history attached to the correct identity instead of splitting them across separate accounts. It also supports a smoother AI productivity software experience by reducing duplicate work and making sure your history stays connected.

Your audio and transcript state is preserved locally, and upload is queued to retry in the background. When you reopen the meeting, you may see a waiting or sync screen until the server catches up to the latest version.
This is an important part of how meeting transcription software works in real conditions, because unstable connectivity should not force you to lose the discussion you just captured.
Meeting Note uses a recording lock and heartbeat system to prevent conflicting recordings. If someone else is actively recording, you will need to wait until that session stops, or until the lock expires, before starting yours.
Once the active recording is completed, the normal process continues so the team can still review, finalize, and email the transcript through one controlled workflow.
